This notice describes information submitted through the Kids Come First website. Our forms are for parents, guardians and other adults arranging care, not for children to complete.

Information you provide

Inquiries and tour requests collect your contact details, your child's name and age, scheduling preferences and your message. Keep Social Security numbers, medical records and financial account details out of these general forms.

Online enrollment collects child identity and birth information, family and emergency contacts, care needs, health and insurance information, permissions and signatures. Saved drafts contain the information you choose to save before submitting.

The enrollment document step requests a health certificate, guardian photo ID, child Social Security card and birth certificate. These documents can contain sensitive identifiers and medical information, including measurements such as height or weight. Upload only the requested documents through the enrollment form. Contact Ms. Dyson before uploading if you have a question about a document or an alternative way to provide it.

How the website uses information

Information supports responses to inquiries, tour scheduling, application review, care planning and administration. Email addresses are also used for sign-in codes and service messages. Payment features, when enabled, record payment references and status. Card details are entered in Stripe's checkout rather than in the daycare's forms.

Approved staff can review submitted records through the staff dashboard. Enrollment documents are stored privately, and the website checks staff access before allowing downloads. Parent access to saved enrollment information requires an email verification code.

Services involved

The website uses Lovable hosting and email services, Supabase database, authentication and document storage, and Cloudflare infrastructure. These services process information needed to operate the website. Stripe handles card checkout when payments are enabled. If you choose an available Zelle option, that transfer is handled through your banking service.

Google Fonts and embedded Google Maps can receive browser connection information, such as your IP address, when their resources load. Links to outside services are governed by those services' own privacy notices.

Confidentiality and disclosure

Our policy is to keep child and family records confidential and limit staff access to care, enrollment and administration needs. Government officials may receive records when acting within their lawful duties. Other disclosures require written parent or guardian permission unless necessary in an emergency or otherwise required by law.

The website services described above process information to support these functions. Their involvement does not remove applicable confidentiality, safeguard or permission requirements. Reading this notice or submitting a form does not give blanket permission to disclose your child's records for unrelated purposes or replace any separately required written authorization.

Keeping and deleting records

DC childcare rules require an enrolled child's complete record to be retained for three years after enrollment ends. Other applicable requirements or legal holds may require longer retention. This is not an automatic deletion deadline for every website record.

Inquiries, unfinished drafts, payment records and backups may have different retention requirements. Contact Ms. Dyson to ask about a specific record or request deletion. Requests must be reviewed against applicable recordkeeping obligations before records can be removed. Closing your browser does not delete information already saved or submitted to the center.

Cookies and shared devices

Sign-in uses session cookies. Temporary browser storage holds payment and request references; enrollment answers are not saved in browser local storage. Use a private device when possible, keep email codes private, and sign out when finished. Downloaded documents remain on the device where they are saved.

Questions and records requests

Contact Ms. Dyson at (202) 733-1213 to ask about information held by the center, request access or a correction, discuss deletion or retention, or report a privacy concern. The center may need to verify your identity before discussing a child's records. Deletion may be limited by childcare recordkeeping or other legal requirements.

Please arrange a suitable way to provide sensitive records with the center. Do not send Social Security cards, medical documents, sign-in codes or bank details in an ordinary inquiry message.
